Assets

Prova FM asset register with category, building, make and model, serial number, install date and warranty status for each piece of equipment

An equipment register that accumulates history instead of listing inventory.

Every piece of critical equipment gets a record: chillers, lifts, alarms, pumps. Each asset carries its category, its warranty, its runtime meter and its complete service history. The asset sits inside its building and, where it matters, inside a specific unit, so you always know which floor the failed air handler serves.

An asset register that only lists equipment is an inventory. Prova’s register accumulates history instead: every work order, cost, photo and failure recorded against that asset stays attached to it. When you decide whether to repair or replace a fifteen-year-old chiller, the argument is already documented. When a contractor calls a fault new, the service history says otherwise.

How it works

Asset

Category, warranty, location and service history, held against the building and unit it serves.

Runtime meter

The asset's counter. Hours run, cycles turned. Drives usage-based maintenance.

Runtime readings

Append-only observations: manual reads, schedule accruals, corrections, meter resets. Rows are never edited; a correction supersedes and the lineage stays.

Operating schedules

Hours per weekday in the site's timezone, minus that jurisdiction's holidays. The declared assumption that turns wall-clock days into machine-hours between real reads.

In practice

The chiller at Rotterdam HQ fails for the third time this year, and somebody has to decide whether to repair it again.

  1. The chiller has been on the register since it was installed, with its category, its warranty date and its runtime meter.
  2. Over six years it has accumulated its own history: the work orders raised against it, the cost recorded on each, the photographs taken, and the failure record written at every closure.
  3. Its warranty expired in year five. The register knows, so nobody wastes a morning checking.
  4. This failure closes like the others, with problem, cause, remedy and downtime recorded against the asset.
  5. Facilities proposes replacement. Finance asks why.
  6. The answer is already assembled: what it has cost to keep running, how often it has stopped, and how much longer each repair now takes.

Nobody had to reconstruct anything. The case for replacement was written by six years of ordinary work being recorded in the right place.

Illustrative walkthrough. Not a customer record.

What we will show you in a demo

  • A fifteen-year-old chiller with every job, cost, photo and failure against it on one screen.
  • A corrected meter reading, with the superseded row still visible and its lineage intact.
  • A warranty date driving a decision rather than sitting in a folder nobody opens.

Questions buyers ask

What if we have no meter data?

Operating schedules accrue machine-hours from a declared duty cycle between real reads, so usage-based plans work before any telemetry exists.

Can we import our existing register?

Yes, in bulk from standard CSV files, and our team completes the initial data onboarding with your staff before launch.

What happens when a meter is replaced or reset?

The reset is a row in the ledger, not an erasure. You can still see what was believed at the time and what corrected it.
